Coaches for conferences, incentives and staff days

A company programme in Italy is a chain of short journeys: hotel to venue, venue to dinner, dinner back to the hotel. Each link needs a place where a coach may legally stop, and in most Italian city centres the city decides that place, not the venue.

Start with the stopping points

Ask every hotel and venue where a coach can set down, then check it against the city's rules. Florence's bus ZTL covers the whole built-up area, so the coach needs its permit before it moves, and Piazza Savonarola is for setting down only. Milan's official central set-down points are Piazza Castello and Via Marina.

Milan's charged centre, Area C, is closed to coaches below Euro VI, which narrows the choice of vehicle. Rome sells its coach permits online, one per vehicle. Send each address with a headcount and a time, so the permits fit the programme.

Fairs and congress venues

Fiera Milano at Rho has coach parking and its own metro and rail stations, about 30 minutes from the Duomo. During the Salone del Mobile, 13 to 18 April 2027, the public comes only on the final weekend, so trade-day shuttles carry exhibitors and buyers. Rho publishes no official coach set-down point; the operator confirms it.

Other venues: Lingotto Fiere in Turin, BolognaFiere near the A14, Fiera di Roma towards Fiumicino and La Nuvola in the EUR district. A morning loop between hotels and halls, then an evening run to dinner, is the usual shape of a fair day.

Rules the organiser should know

  • EU drivers' hours (Regulation (EC) No 561/2006, applied in Italy by art. 174 of the Codice della Strada): at most 9 hours of driving a day, extendable to 10 hours twice a week
  • Daily rest is at least 11 hours, which may be reduced to 9 hours up to three times between weekly rests

Long days and late dinners

An early airport collection followed by a gala dinner that ends near midnight will not fit one driver's day. Give the first pick-up and the last drop-off on the request; if the span is too long, the quote adds a second driver or a second vehicle.

Under Legge 218/2003 the period, length and total for the bus are agreed before the trip, so list every movement, the after-dinner run included, before the quote is written.

Questions organisers ask

Can the coach wait outside the venue all day?

In a city centre, rarely. It sets down, drives to a coach area and comes back at an agreed time. Some exhibition centres, Fiera Milano among them, have coach parking at the grounds.

Is a car with driver better for speakers or board members?

For one to three people, yes. An NCC car is booked in advance and can meet a guest at the airport while the coach moves the group.

Do coaches pay motorway tolls?

Yes. Most Italian autostrade are tolled by vehicle class, paid at the barrier or electronically. Ask the quote to state whether tolls are included.
