From Your Trip Plan to a Confirmed Coach
Three steps, and you commit to nothing until the third. Most of the work goes into the first one, because a clear plan gets a quote that holds.
1. Send the plan
Give the number of passengers, the dates, the pickup address and every stop in order, with the times you need to be there. Say how much luggage there is, and whether anyone uses a wheelchair or cannot manage steps.
For a school group, name the school and the age of the pupils. Several cities treat school coaches differently: Florence has its own permit types for school groups, Verona sells reduced passes for school trips online by the day before, and Rome lets a primary-school trip into the closed historic centre for 60 minutes.
2. An operator costs it
A partner operator works out the hours, the distances and the permits. It checks that the day stays inside the driving limits: 9 hours of driving at most, a 45-minute break after 4.5 hours, and a daily rest of normally 11 hours. A day that breaks those limits needs a second driver or an overnight stop.
It also checks each city on the route. Rome bars coaches below Euro 5 from all three of its coach zones, so ask for the vehicle's emission class in the quote. Four airports, Fiumicino, Linate, Pisa and Malpensa, admit coaches to the arrivals bays only with an authorisation or agreement, which the operator arranges.
3. Check the quote and accept
The quote states the vehicle and its seats, the times, the route and what is included. Read the pickup times against your own programme, and check that every stop is there. Only when you accept does the booking go ahead.
If the plan changes
Tell us as soon as you know. Ten more passengers may need a bigger coach. A later finish can push the driver past the daily limit. A new stop in a city with a coach permit means a new permit for that day. Most changes can be made; they just need to reach the operator in time.

How far ahead should we book?
As early as the programme allows. Siena's coach permits are reserved online at least a day before arrival, and Lucca's reduced tickets three days before.
Can the group meet the coach at a station?
Yes, if the operator confirms a place where the coach may stop there. Give the station and the train's arrival time.
What if we do not know the exact headcount yet?
Send your best estimate and the likely range. The vehicle is chosen for the final figure, so confirm it before the trip.
